Data Deletion Policy

1. Overview

Amana AI keeps personal data only as long as it is needed for the school's purposes, and deletes it automatically when that time is up. This policy explains how that works.

2. Who decides

Your school controls its data in Amana AI, so deletion follows the school's settings and instructions. Inteva AI Technologies LLC carries them out as the school's processor.

3. Automatic deletion

Without anyone having to ask, the platform regularly deletes:

• conversations older than the retention period the school has set;
• uploaded documents once they expire under the school's settings;
• stored files and passages that no longer belong to any document.

4. Erasing a person

When a school erases a person, their conversations and uploads are deleted, and their account is anonymised: name, email address and class are removed and the account can no longer sign in.

Usage figures stay in the school's reports under a pseudonymous ID, with nothing that identifies the person, so the school's totals still add up. Audit records are kept because the law and the school's accountability require them, but they point only to the anonymised account.

5. When a school leaves

When a school's account is closed, nobody can sign in to it. The school's data is then deleted as set out in its agreement.

6. How to ask

Pupils, parents and staff should ask their school, which can erase an account directly. You can also email info@inteva.ai; we will pass your request to your school and help it respond.

7. How long it takes

Erasure takes effect as soon as the school confirms it, and content is removed within 30 days. Copies in encrypted backups are overwritten on the normal backup cycle.

8. Exceptions

We may keep information for longer where the law requires it, to resolve a dispute, or to investigate a security incident, and only for as long as that purpose lasts.
